Claims Management Specialist (determined contract)

Join our team in Bucharest and take on the role of Claims Management Specialist(determined contract)!

This role is responsible for managing customer claims and returns in the assigned region, as part of the Customer Service team. Handle issues related to deliveries (e.g. discrepancies, damages, lost items), quality, and pricing in coordination with Order Management, Sales, and Finance teams. Oversee customer returns and stock cleaning, from goods return authorization to credit note issuance, based on warehouse inspection. 

Key responsibilities:

• Process customer claims following defined procedures.

• Coordinate with internal teams to validate claims; issue credit/debit note requests and communicate outcomes to customers and the Cash Collection team.

• Assess return requests and authorize or reject returns per internal approval matrix.

• Upon warehouse feedback, create return orders/credit notes and notify stakeholders.

• Coordinate collection and refunds for used parts and caliper cores with relevant parties.

• Request and manage customer account updates.

• Monitor intercompany transactions.

• Handle internal orders (catalogues, samples, staff purchases).

• Maintain up-to-date shared documentation and procedures.

• Collaborate closely with cross-functional teams to enhance processes and solve issues

• Bachelor’s degree or equivalent experience

• 1–2 years in a commercial or customer service environment

• Strong organizational and process management skills

• Customer-focused with adaptability and versatility

• Effective in multicultural, team-oriented settings

• Knowledge of business processes; experienced with SAP, MS Office, and data tools

• Proactive, takes initiative

• Fluent in English; Spanish or Italian is a plus

• Availability to work on a temporary contract of 12 months.
