The Legal Operations & Administrative Manager is a key member of the DRiV Legal Department, combining legal operations leadership with hands-on administrative execution. The individual will drive the day-to-day business of the legal function—managing outside counsel engagement, legal spend, entity maintenance, contract intake, compliance reporting, and litigation support processes—while also providing critical administrative support to ensure the department operates efficiently and professionally.

DRiV’s new Legal Operations & Administrative Manager will thrive in such an environment.

 

Core Responsibilities:

1. Legal Operations & Spend Management

  • Manage the end-to-end legal invoice process, including intake, review, coding, and approval workflows
  • Track and report on legal spend and budgets, including identifying trends and cost-saving opportunities
  • Support implementation and enforcement of billing guidelines and outside counsel expectations
  • Serve as the primary point of contact for e-billing systems and vendor management platforms
  • Administer and maintain the department’s e-billing platform (e.g., Legal Tracker), including matter setup, invoice review workflows, and reporting

 

2. Law Firm & Vendor Onboarding

  • Coordinate onboarding of outside law firms and legal service providers, including:
    • Vendor setup and compliance requirements
    • Engagement documentation and rate approval tracking
  • Maintain a database of approved firms, rate structures, and engagement terms
  • Partner with procurement and finance to ensure alignment with company policies

 

3. Corporate Governance & Entity Management

  • Assist with corporate entity maintenance, including:
    • Tracking annual filings and governance requirements
    • Coordinating with outside providers on entity compliance
  • Maintain and organize corporate records and document repositories

 

4. Contract Intake & Document Management

  • Manage contract intake processes, including:
    • Initial triage and routing to appropriate legal team members
    • Tracking status and ensuring timely follow-up
  • Support ongoing maintenance of contract templates, including:
    • Updating templates based on legal team input
    • Driving consistent formatting and document standards across agreements
  • Help standardize and improve intake workflows, templates, and tracking tools

 

5. Litigation, Compliance & Legal Hold Management

  • Administer the department’s legal hold process, including:
    • Coordinating implementation of new legal holds
    • Maintaining records of active holds
    • Responding to internal inquiries regarding legal hold applicability
  • Manage intake and triage of complaints received through the company’s ethics hotline, including:
    • Logging and tracking matters
    • Coordinating internal routing and follow-up with appropriate stakeholders (e.g., Legal, HR, Compliance)
    • Supporting documentation and reporting requirements
  • Support litigation- and investigation-related workflows, including coordination with internal stakeholders and outside counsel

 

6. Reporting & Legal Operations Support

  • Collate and analyze information to support departmental reporting and leadership updates
  • Prepare regular and ad hoc reports on legal spend, matter status, compliance matters, and operational metrics
  • Support implementation and continuous improvement of legal department processes and systems
  • Maintain and organize legal templates, playbooks, and internal resources
  • Identify opportunities to increase efficiency, reduce cycle time, and improve user experience

 

7. Administrative & Executive Support

  • Provide administrative support to Legal leadership as needed, including:
    • Calendar coordination and meeting logistics
    • Preparation of presentations and materials
    • Management of sensitive legal and business documents
  • Review and coordinate requests for recording access and similar internal approvals, ensuring appropriate handling of sensitive information

 

Required Experience and Skills

Required

  • 5+ years of experience in legal operations, legal support, or administrative roles within a legal environment (law firm or corporate in-house department)
  • Experience supporting legal hold processes, compliance intake (e.g., ethics hotline), contract workflows, or similar legal department operations
  • Strong experience with invoice processing, vendor management, and financial tracking
  • High level of organization and attention to detail
  • Proven ability to manage multiple priorities in a fast-paced, global environment
  • Strong communication skills and ability to work effectively across functions (legal, finance, procurement, HR, compliance, and business teams)
  • Excellent fluency in English (written and spoken)
  • Business-focused approach, strong interpersonal skills, and a commitment to professionalism and integrity

 

Preferred

  • Experience with legal e-billing or matter management systems (e.g., Legal Tracker, CounselLink, Serengeti)
  • Familiarity with corporate governance and entity management processes
  • Process improvement or project management experience
